TapStay property setup and how the Guest Portal works

The complete operating guide: create a property, fill in guest essentials, add reservations, and understand exactly what guests can see before, during and after a stay.

How TapStay works in 60 seconds

Every property you create gets one permanent guest link. You fill that property with the things guests always ask for. Reservations then decide when the sensitive parts of it are visible.

  • Create a property — TapStay generates a permanent link, QR code and NFC target for it.
  • Fill in Wi-Fi, contact, house rules, arrival and access, checkout, photos and local picks.
  • Publish it so the link opens for anyone who taps or scans.
  • Add a reservation for each guest — this is what unlocks stay-sensitive details at the right time.
  • Guests open the same link and get a portal that changes with their stay.

Important

The link never changes. Printed plaques and QR codes never need reprinting, even after you rewrite everything behind them.

Create your property

Start from the dashboard and add a property. Give it a name and address, pick the property type, and TapStay creates its permanent guest address —/stay/your-code. Each property gets its own card with status, key numbers and quick actions.

Tip

The status strip is the fastest health check: “Ready for guests” means your setup is complete, “No upcoming stay” means no reservation is scheduled yet.

Wi-Fi, contact, rules, arrival and checkout

These are the guest essentials — the details that generate almost every message you get today. The setup flow saves as you go, so you can leave and come back.

Wi-Fi network and password — the first thing most guests look for.
A contact number guests can use when it really matters.
House rules, written once and shown in the portal.
Arrival and access details plus checkout instructions.

You can also add, in the same flow:

  • Check-in and check-out times, and the property timezone — TapStay uses the property clock, never the guest's device clock.
  • Arrival and access details: building entry, floor, unit, key box or code, parking notes.
  • Guest answers (FAQs) — the questions you keep answering by message.
  • Local recommendations: coffee, dinner, groceries, pharmacy, things to do.
  • A welcome message and a farewell message.

Privacy

Saving Wi-Fi, contact or access details never makes them permanently public. They are released to the guest portal only when a reservation makes them relevant — see What is hidden and when below.

Photos and welcome video

Photos and an optional welcome video set the tone before anyone arrives. Once the property is Active, these presentation assets stay visible in the limited public view even when no stay is running — unlike the operational details. While the property is still a Draft, the link is not open to the public at all.

Upload and reorder your gallery — the first image becomes the cover.
A short welcome video is optional, and it travels with the link.

Tip

Shoot the welcome video vertically on your phone, keep it under a minute, and point out the things people always miss: the entrance, the lift, the parking gate.

Publish and what “Active” means

A new property starts as a Draft. A draft link is not open to the public — only you, signed in, can preview it while you write.

Switch it to Active when you are ready. Active means the link, QR code and plaque work for anyone who opens them.

Important

Active does not mean everything becomes public. It opens the door; reservations still decide which operational details are shown behind it.

Add a reservation, and why reservations matter

A reservation is simply the dates and times a guest is with you. Add one from the property card status strip, or from the Reservations card on Manage stay.

Add reservation — dates, times and where the booking came from.
Manage stay lists every reservation and the stay phase it produces.

Reservations do three jobs:

  • They tell TapStay when a guest should see stay-sensitive details.
  • They drive the portal timeline: pre-arrival, check-in, in stay, checkout.
  • They keep your dashboard honest about what is happening today.

Important

Set the property timezone. Every boundary — check-in, checkout, the pre-arrival window — is evaluated on the property clock, so an unset timezone leaves the stay status unresolved.
Manage stay is the day-to-day control room for one property.

Before, during and after a stay

The guest link is the same at every moment. What changes is how much of it is live.

  • No reservation scheduled — the portal is intentionally limited: property identity, photos, welcome video, general check-in and check-out times.
  • Reservation booked, arrival still far off — the portal frames the upcoming stay and getting-here context without exposing entry credentials.
  • Shortly before check-in — a short pre-arrival window opens (currently 60 minutes before check-in on the property clock). It releases the exact address, arrival notes, floor and unit, and the access method, so an arriving guest can find the door. It deliberately does not release building entry codes, access codes or the detailed access instructions.
  • From check-in onwards — check-in reads as available now and stay-sensitive details, including access codes, are shown.
  • After the stay window closes — the portal steps back to its limited state and sensitive details are no longer exposed.

Privacy

TapStay never promises a guest that a detail is missing. Outside the window it says the detail will be available for the stay — because the data may well be saved and simply private for now.

What is hidden, and when

Your guest link is permanent and public. A neighbour, a delivery driver or a guest from six months ago can open it. So the server strips stay-sensitive fields from the public response unless a reservation makes the visitor eligible — the data never reaches the browser.

The exact address is treated as operational, not as public identity: outside a stay the public response carries no street address at all. It is released in the pre-arrival window — 60 minutes before check-in on the property clock, together with arrival notes, floor, unit and the access method — and throughout the active stay.

Access credentials get one extra layer. The pre-arrival window never carries building entry codes, access codes or detailed access instructions, and even inside a booked stay those remain hidden until check-in is reached on the property clock, then appear with the arrival details.

Important

If you saved Wi-Fi and cannot see it on the public link, nothing failed and nothing was lost. There is no eligible stay right now. Add the reservation and it appears on schedule.

Owner Preview vs public guest access

Preview on a published property opens the real public guest URL in a new tab. That is intentional: you see exactly what a guest would see at this moment, including the limited view when no stay is running.

The owner-only full view applies to drafts. While a property is not public yet, signing in lets you preview your own content so you can proofread it before you go live.

Tip

To review the full guest experience, preview during a real active reservation. If you are testing on a demo property, you can use a temporary test reservation and remove it afterwards. To check your written content only, preview while the property is still a draft.

What guests actually see during a stay

During an eligible stay the portal behaves like a calm, single-purpose app: the essentials on the home screen, details one tap away in sheets.

Wi-Fi — one tap to copy, no typing errors.
Checkout — an interactive checklist, not a wall of text.
House rules, presented clearly rather than buried.
“Need anything?” keeps you reachable for the things that matter.

Local recommendations appear as Around You, with your own picks alongside useful nearby places.

Around You — categories guests actually use.
Each category opens a focused list with distance and details.

QR code, NFC plaque and Direct Link

Three ways in, one permanent address. Guest access lives on the Manage stay page for each property.

QR code — welcome card, fridge magnet, door insert.
NFC plaque — tap the phone, no app, no typing.
Direct link — best in your booking message before arrival.

Tip

Send the link before arrival and keep the plaque or QR inside the property. Guests then always have a route in, whether or not they can find your message.

How TapStay Concierge works

The Concierge answers guest questions from what you have saved and from what is available for that stay. It does not invent details, and it never reveals information that is currently private.

Guests usually start from a suggested question.
During a stay it answers directly from your saved details.
Practical questions get practical answers — if you taught it the answer.

Privacy

Outside an eligible stay the Concierge says a detail will be available for the stay and offers to reach you. It never suggests the host failed to provide something.
The Concierge card on Manage stay shows how well covered your property is.

Teaching the Concierge with Guest Knowledge

Guest Knowledge is where you turn the messages you keep answering into answers the Concierge can give for you. Every entry you add widens what it can handle.

Guest Knowledge: your answers, organised by topic.
Appliances and amenities — how things actually work.
Special situations — late arrival, luggage, extra guests.
Problems and emergencies — what to do at 2am.

Tip

Fastest win: scroll your last month of guest messages and add the five questions you answered more than once.
The Guest Ready card keeps score of what is still missing.

Editing after publication

Edits save immediately and the guest link serves them straight away — no republishing, no new QR code, no new plaque. Change the Wi-Fi password mid-stay and your current guest sees the new one the next time the portal loads.

What guests see

A guest with the portal already open may keep seeing the previous version until they refresh or reopen the page.

Common issues

I saved Wi-Fi but the guest cannot see it.

Check whether a reservation covers right now. Outside an eligible stay the server keeps Wi-Fi private, so it never reaches the page. Your saved details are intact and will appear once a stay is running.

Why does my property say “No upcoming stay”?

It simply means no reservation is scheduled in TapStay for that property. The guest link still works and shows the limited view. Use Add reservation on the property card or the Reservations card on Manage stay.

Why does Preview look limited?

Preview on a published property opens the real public URL, so it shows exactly what a guest would see at that moment. With no stay running, that view is limited by design.

The guest says details are missing.

Confirm the reservation dates and times, and that the property timezone is set — every boundary is evaluated on the property clock. Once the stay is current, the details are released automatically.

When do arrival and access codes appear?

A pre-arrival window opens 60 minutes before check-in on the property clock and releases the exact address, arrival notes, floor, unit and the access method — but not entry codes. Codes are withheld until check-in is reached, then shown with the arrival details.

How do I add or change a reservation?

Add reservation on the property card, or the Reservations card on Manage stay, where you can also edit or cancel. Changes take effect immediately.

How do I teach the Concierge something it doesn't know?

Open Guest Knowledge for that property and add the question and answer. The Concierge starts using it right away, for the guests who are eligible to see it.
